Using the ISP (short for "Individual Study Plan") the supervisors in dialogue with the PhD student shall establish, follow up and update the individual study plans.

The ISP is a planning and follow-up document that is filled in and agreed upon jointly in dialogue between by the PhD student and the supervisor team. The main responsibility lies with the main supervisor. The content is regulated in the Swedish Higher Education Ordinance and University West's own guidelines. The finally updated and approved ISP is the most important basis for the degree administrators to be able to issue diplomas, and therefore formalities must be followed.
The main responsibility for the process is that of the main supervisor. He/she is responsible for ensuring that the completion takes place in dialogue with the assistant supervisor and PhD student.
In case of doubt - contact the subject's research education administrator. This is important so that formal shortages do not delay handling.
The ISP form must be updated at least once per calendar year , or more often if necessary.
The workflow is as follows, after a student has been admitted to postgraduate studies:
1. The subject's research education administrator initiates an ISP with connection to the PhD student and intended supervisors, start date and type of employment according to the admission decision, and gives PhD student and supervisors access to the digital ISP.
2. The supervisor and PhD student shall check that the pre-filled information is correct, and if something needs to be changed, contact the administrator as soon as possible.
The supervisor and PhD student shall, within 60 days from start of research studies have a first version of the ISP ready for approval. Already at this time, all planned study semesters must be roughly planned. More information can be found under the respective tab in the ISP.
4. To get an ISP approved the following steps apply:
a. When the supervisors and PhD student are ready, the PhD student starts the process of approval by giving its consent, and after that the ISP is locked. The next step is that the main supervisor marks a Request for Approval and information goes to the administrator, who reviews formalities. Should the administrator find bigger deficiencies in the given information, it must be corrected. When this is done, the administrator should mark that the ISP shall proceed to the Head of Division/Head of department.
b. Head of Division/Head of Department shall consider endorsement of the ISP, after which the Subject Committee will be informed.
c. The Subject Council shall consider Approvement of the ISP. Then that version is Approved , and can not be changed. Information is sent to PhD student, supervisors and administrator as well as to LADOK. Approved ISPs can be read by all users in the system
d. The Research Education administrator establishes a copy of the ISP so it is ready for completions at next update. If needed, the administrator can unlock an ISP at an earlier stage for corrections before the final approval.
Supervisor and student can work continuously during the year on the next draft.
